A CRM. All your people, in one place.

Enquiries, members, volunteers and attendance. One list, not six spreadsheets.

So what actually is it?

CRM stands for customer relationship management, which is a corporate way of saying "a list of the people you deal with, and what happened with each of them". For a charity, the people are members, volunteers, families you support, funders and the organisations you refer to.

Most small charities already have one. It is just spread across a spreadsheet, a shared inbox, a paper register, three WhatsApp groups and one person’s memory.

A CRM puts all of that in one place, with a record per person: how they found you, what they asked for, which sessions they came to, what consent they gave, and who on your team last spoke to them.

Spreadsheets vs a CRM

Same people. Very different Monday morning.

The old way
  • A new row every time, and nobody is sure which sheet is current
  • Attendance on paper, typed up later, or not
  • Consent is somewhere in the email, probably
  • The funder report takes a weekend and a volunteer’s nephew
A CRM
  • One record per person, with everything that happened
  • Check people in from a phone at the door
  • Consent recorded when they gave it, shown when you need it
  • The funder numbers in a click, rounded and ready

What you’ll actually notice

  • Nothing gets lost

A website enquiry, a sign-up at an event and a phone call all land on the same record.

  • Anyone can cover

When the one person who knows everything is on holiday, the team can still see who is who.

  • Funders stop asking twice

How many people, how many sessions, how many new this quarter: the answers are already there.

  • You can speak to the right people

Volunteers who did first aid, members in one postcode, families who came to the last three sessions.

How it gets set up

If your people are already in a spreadsheet, we import it: names, contact details, tags and the history you have.

If they are not, you start from the next enquiry. The website forms feed the CRM from day one, so it fills itself.

  1. 1

You tell us what you track

Members, volunteers, sessions, referrals: the words you use become the categories you see.

  2. 2

    We import what you have

From a spreadsheet, a mailing list or an old system. Duplicates merged, dates kept.

  3. 3

    Your forms go live

Enquiries and sign-ups from the website land in the CRM with a consent record.

  4. 4

    Your team logs in

Each person has their own account and role. Two-step sign-in is on from the start.

  5. 5

    You run a session

Check people in from a phone. The attendance is in the report that evening.

Questions about the CRM

Is our data safe?

Each charity’s data is kept apart from every other charity’s at the database level, not just by a password. Staff sign in with a password and a code from an authenticator app. Every change is recorded with who made it.

Can we export it?

Yes, any time, as a spreadsheet, and you can leave with all of it. It is your data.

Do we need to be technical?

No. If your team can use a shared spreadsheet, they can use this. Most things are a form with sensible defaults.

What about consent and GDPR?

Every website form records the consent wording the person saw and when they agreed. You can see it on their record and delete a person entirely when they ask.

Does it work on a phone?

Yes. Checking people in at a session is designed for a phone at the door, and the rest works on one too.

What does it cost?

One monthly price for the website and the CRM together, however many people are in it. Ask and we will tell you the number straight away.

Fancy a proper look?

Tell us a little about your charity and we will show you the CRM with your own kind of people in it.
