Volunteers, organised. Without the spreadsheet.

Sign-ups, rotas, DBS checks and who turned up. One place, not a WhatsApp group.

What is volunteer management, really?

It is everything between someone saying “I’d like to help” and them turning up on Saturday: their details, their checks, what they can do, which sessions they are on and whether they came.

In a small charity it usually lives in a spreadsheet, a group chat and the coordinator’s head. That works until the coordinator is ill, a DBS check quietly expires, or a funder asks how many volunteer hours you had last year.

Volunteer management software keeps each volunteer as a record, with their status, role and checks, and lets you ask them to sessions and see who said yes.

Group chat vs a volunteer record

Same lovely people. Far less chasing.

The old way
  • “Who can do Saturday?” and forty replies to scroll through
  • DBS dates in a spreadsheet nobody checks
  • A sign-up form that emails one person
  • No idea who actually came, or how often
Volunteer management
  • Ask volunteers to an event and see who is going
  • DBS checks flagged before they expire
  • Website sign-ups that create the volunteer’s record
  • Attendance marked on the day, ready for the report

What you’ll actually notice

  • No surprises on DBS

Checks that have expired, or expire within 60 days, are flagged on the dashboard when you sign in.

  • Rotas sort themselves

Volunteers subscribe to their own rota from their phone’s calendar, so the sessions are just there.

  • New volunteers do not fall through

A sign-up on the website is a volunteer enquiry with a status, not an email that gets buried.

  • You can say thank you properly

You know who came to what, so the volunteers who carry you can be thanked by name.

How it gets set up

If your volunteers are in a spreadsheet, we import it: names, contact details, roles and DBS dates.

Your website gets a volunteer sign-up form that creates the record, with the consent wording they agreed to.

  1. 1

    We import your volunteers

From a spreadsheet, with their roles, status and DBS dates.

  2. 2

    Your sign-up form goes live

New volunteers arrive as enquiries you can turn into a record in one step.

  3. 3

    You plan a session

Add it to the calendar and ask the volunteers you need.

  4. 4

    They say yes

See who is going before the day.

  5. 5

    You mark who came

Attendance goes straight into the numbers for your next report.

Questions about volunteers

Do volunteers need to log in?

No. Staff manage the rota. Volunteers can subscribe to their own rota from their phone’s calendar.

Does it track DBS checks?

Yes. Each volunteer’s DBS date is on their record, and checks that have expired or expire within 60 days are flagged.

Can people sign up to volunteer on our website?

Yes. A volunteer form on your site creates an enquiry, and you turn it into a volunteer record in one step.

Can we see who came to what?

Yes. Mark attendance for each event, and it counts towards your reports for any dates.

Fancy a proper look?

Tell us a little about your volunteers and we will show you how it would work for you.
